“WhatsApp lead management” gets searched by people who already have WhatsApp enquiries coming in and no clean way to handle them. Sometimes it is one phone passed between three salespeople; sometimes it is a Business API number bolted onto a CRM nobody finished configuring. Either way the real question is the same: what should this cost per month, and what am I actually paying for?
Below is a breakdown based on what we see across Indian B2B and D2C teams — ranges, not fixed prices, because Meta's rate card and BSP markups both move.
What “WhatsApp lead management” actually covers
Four moving parts, each with its own bill:
- The number. The free WhatsApp Business app, or the Business Platform (Cloud API) via a BSP. The app costs nothing and breaks the moment two people need the same inbox.
- The pipe. Template approval, webhooks, message routing. This is where BSP markup lives.
- The system of record. A CRM, a helpdesk, or a spreadsheet. Sheets are cheap until you need reporting or role-based access.
- The people. Who replies, how fast, and who owns the follow-up when nobody does.
Most quotes describe the first two and quietly leave the last two to you.
The five cost lines, with realistic ranges
For a team of 3-8 people handling roughly 500-2,000 inbound conversations a month, expect these:
- Meta message charges. Marketing templates are the expensive category, utility and authentication cost less, and service replies inside the 24-hour customer window have been free since late 2024. Budget ₹0.10-₹0.90 per template message depending on category, then check Meta's live rate card before you commit — India pricing has changed more than once in the last two years.
- BSP or platform fee. Typically ₹2,000-₹10,000 a month depending on seats and features. Some BSPs charge per message instead; ask which model, because it changes your cost curve as volume grows.
- Seats. ₹500-₹1,500 per agent per month for inbox tooling. This is the line that grows every time you hire.
- CRM. ₹400-₹1,500 per user per month hosted. Self-hosted shifts it to a server bill plus maintenance — cheaper at 20 seats, more expensive at four.
- One-time setup. Number verification is free but slow. Wiring Cloud API into your CRM, building assignment rules and templates usually runs ₹15,000-₹60,000 to have built, or 2-5 weeks of someone internal doing it badly first.
Add those up and a four-person team typically lands between ₹8,000 and ₹25,000 a month, plus setup.
Worked example: 4 reps, 1,000 enquiries a month
A Gurgaon B2B distributor, four sales reps, about 1,000 inbound enquiries a month:
- 4 inbox seats at ₹900 — ₹3,600
- BSP platform fee — ₹4,000
- 1,500 marketing template messages at ₹0.80 — ₹1,200
- Service replies inside the 24-hour window — ₹0
- CRM at ₹700 per user for 6 users — ₹4,200
Monthly run rate: roughly ₹13,000, with about ₹35,000 one-time to set up CRM sync and lead routing properly. That excludes the cost no invoice shows: if first response takes four hours instead of ten minutes, the enquiry usually went to whoever replied faster.
Where the money actually leaks
Three places, in our experience:
- Response time. Tooling is cheap next to the leads you lose waiting.
- Broadcast spend on cold lists. Marketing templates to people who never opted in burn budget and drop your number quality rating, which then hurts delivery for the leads who do want to hear from you.
- No consent record. Under the DPDP Act you need to show how you got a number and what the person agreed to receive. Retrofitting that after a complaint costs far more than capturing it at the point of enquiry.
If off-the-shelf tools don't fit your process, our pricing page covers what custom work typically costs.
Build vs buy
Buy if your process is standard: capture, assign, reply, log. A BSP plus a hosted CRM gets you there for a few thousand rupees a month, live inside a week.
Build if it isn't — quoting logic, dealer pricing, dispatch updates, GST invoice links on the same thread, or WhatsApp as a channel inside an internal tool. The honest comparison isn't “BSP fee vs development cost”, it's “seat fees forever vs a one-time build you own”. Our case studies show how those projects tend to run.
Where to start
Pick one number, one inbox, one system of record. Capture consent properly from day one. Then measure first response time for two weeks before buying anything else — it will tell you more about your pipeline than any dashboard. If you want help scoping the build side, start here; Maysan Labs does this work for Indian SMB and mid-market teams, and we'll say so if a ₹4,000-a-month off-the-shelf tool would do the job instead.
